Spring Hill Baptist Church JOB DESCRIPTION Job Title: Administrative Assistant Part-time: 20 hours (M-F, 9am-1pm) Supervisor: Senior Pastor and Personnel Team JOB DESCRIPTION – Administrative Assistant GENERAL SUMMARY: • The role and responsibilities of the Administrative Assistant are to oversee and manage daily operations • Must be a committed follower of Jesus Christ and support the mission of Spring Hill Baptist Church (SHBC). DUTIES AND RESPONSIBILITIES: ● Welcome visitors, address questions, and assist them with any problems. ● Maintain the church calendar and use of the church property by coordinating with the buildings and grounds chair to ensure proper care and maintenance of church property and mechanical systems. This includes arranging details for weddings, funerals, baptisms, and any other events that require the use of the church itself. Oversee and manage contractors as needed. ● Maintain the in-office calendar and keeps staff up to date on upcoming meetings and events. ● Maintain all church records, such as information regarding baptisms and marriages. ● Assist in writing, editing, printing, and distributing any weekly bulletins or flyers. ● Send out church mailings. ● Order office supplies, as necessary. ● Keep office clean and orderly. ● Supervise and facilitate the communications of the church with staff, committees, and the congregation by ensuring the proper dissemination of all necessary information in a timely fashion for all church functions (including maintenance of the church calendar) ● Oversee the formulation of the church’s informational publications including printing bulletins, newsletters, and mailings. ● Manage the daily operation of the church office by maintaining and updating an operation’s manual for daily office procedures, supervise the maintenance of church office equipment including phones, computers, copiers, etc. ● Perform other duties as needed. EDUCATION: Minimum of high school diploma or equivalent. Post-secondary education a plus. EXPERIENCE: Experience in administrative support or office administration preferred. Experience working with presentation software preferred (or willingness to be trained). SKILLS: ● Demonstrated knowledge and skill with office management system software, preferably MS Office (Word, Excel, PowerPoint). ● Effective communication skills, both written and oral. ● Proficient at proofreading and document editing. ● Exceptional organizational skills and ability to prioritize tasks.
