Music Ministry Administrative Assistant
The Administrative Assistant (AA) will work closely with the Minister of Christian Worship, Music Associate,
and numerous volunteers to lead the Worship Ministry at Richmond’s First Baptist Church. This hands-on role
encompasses a variety of regular administrative tasks and includes the willingness to regularly assist the staff
in ministering to others. This position necessitates creativity, collaboration, and personal initiative. Advanced
computer and organizational skills are essential.
Graphic design is a significant part of the weekly work within this role. This includes worship bulletins, concert
programs, and season worship emphases such as Lent and Advent. The AA will be asked to process, design,
and review material produced on a regular basis with the other members of the worship staff as well as
worship materials generated by the Communication team.
This Administrative Assistant at Richmond's First Baptist Church will facilitate the work of the Worship Ministry:
Maintain the calendaring for all rehearsals and worship ministry events.
Communicate with the members of the church's choirs regarding scheduling.
Create, design, and produce the programs of all worship ministry concerts, special worship services, and
seasonal worship emphases.
Create promotional materials, as needed, for the adult, youth, and children's choir and ensembles.
Order and distribute literature for all choirs.
Proof the weekly worship bulletin.
Assist in the promotion, communication, and administration of details regarding guest groups (choirs,
soloists, orchestras, and instrumental ensembles).
Maintain the registration and rolls of all choir participants.
Update and produce general worship ministry promotional materials.
Assist the Minister of Christian Worship and the Appointment with God Team in the production of the
annual Appointment with God devotional collection.
Order, secure, and facilitate the resources for use during special seasons of the church year (i.e. Advent,
Christmas, Lent, Pentecost)
Order, catalog, and distribute anthems and sheet music to the church's choirs.
Design and produce a weekly, succinct, newsletter that is provided to the choir.
Maintain accurate weekly attendance records of all choir members.
Maintain instrument and music equipment inventories.
Prepare weekly orders of worship for printing.
Perform other duties as requested by the Associate Pastor for Christian Worship and/or the Worship
Extensive administrative experience is necessary for this role in this expansive and multi-faceted worship
