Job Summary: The role of the Church Office Administrator is to facilitate a well-organized and functioning church office, including the organization and maintenance of digital and analogue information, internal and external communications and administration of building usage. The Office Administrator will also oversee and collaborate with church office volunteers. Duties: 1. Along with office volunteers, ensure that all guests are greeted in a welcoming manner in keeping with the church’s Guiding North Star Statement. 2. In conjunction with the Communications Team and ministerial staff ensure that all church communications (digital, social media and print) are accurate and on time. 3. Manage the flow and ordering of office supplies. 4. Facilitate and schedule building usage. Ensure that the electronic door system is properly programed to meet these schedules. 5. Act as liaison to Chesterfield County Parks & Recreation, associated Baptist organizations and non-church groups. 6. Maintain and communicate the church calendar. 7. Manage communications between staff and Properties Group representative regarding repairs, scheduling maintenance, usage, inventory for all designated church systems. 8. Provide administrative support for the Senior Pastor and other ministerial staff. 9. Oversee the church database in ChurchTrac, including collaboration with staff and Outreach Group on the management of guest data input and follow. 10. Participate in weekly staff meetings and help communicate information pertaining to the church calendar, building usage, and other relevant information. 11. Oversee background checks relative to personnel involved in church activities. 12. Track church vehicle reservations . Ensure drivers haver proper documentation. 13. Coordinate the work needs of the Custodial team. Qualifications: The Office Administrator is to: A. Not be a member of Huguenot Road Baptist Church. B. Demonstrate a high level of trust and confidentiality. C. Be qualified for the work as shown by a degree in business or accounting, or Certified Church Administrator designation from the National Association of Church Business Administration, or 3+ years’ experience working in office administration . D. Demonstrate excellent interpersonal and leadership skills. E. Display strong verbal and written communication skills. F. Be detail oriented with sound record keeping abilities. G. Possess a strong technological skill set and knowledge of computer programs and web systems such as Microsoft 365, Google systems: MailChimp, Publisher, Canva, and social media platforms such as Facebook and Instagram. A. Demonstrate the ability to operate standard office equipment as well as inter office web-based phone system. B. Possess the ability to direct groups of volunteers and organize them in the office when there is an absentee or PTO, C. Has knowledge of and supports HRBC’s purpose statement, beliefs and commitment.
