Position Overview

We are seeking an experienced and visionary Director of Global Events to lead the planning and delivery of our global events portfolio. As the Director of Global Events, you will be instrumental in creating impactful experiences that help the BWA fulfill its mission to Network the Baptist World for Christ.

This role sits within the BWA ministry area of Worship, Fellowship & Unity and seeks to serve the BWA in achieving the goals of this ministry area. BWA events also serve to support the work and goals of the other BWA ministry areas - mission and evangelism; aid, relief, and community development; religious freedom, human rights, and justice; and theological reflection and transformational leadership.

The Director of Global Events is responsible for working with the Director of Ministries/COO in the strategic development and implementation of our events. As the lynchpin of our event planning and delivery efforts, the individual is responsible for orchestrating all aspects of events, from conception through to completion. This dynamic role requires a unique blend of creativity, strategic thinking, and exceptional organizational skills to ensure that each event both aligns with the vision and goals for that event and delivers an unforgettable experience for participants.

The Director must be able to demonstrate an entrepreneurial, collaborative and results-oriented approach to lead and drive the production of high-quality events that help advance our mission. With a strong focus on implementation, as well as innovation, this position is responsible for ensuring successful event delivery, including logistical preparation, vendor management, speaker (and presentation) coordination, registration, participant liaison, internal team leadership and cooperation, employing exceptional organizational skills, a keen eye for detail, and the ability to manage multiple projects simultaneously.

Events may be held in our Falls Church, Virginia office and at least one per annum is held in one of our 6 regions around the world. Events can range in size from 40 to 5,000 attendees. The role includes helping identify suitable venues and negotiating prices for and coordinating accommodation, venues, catering, equipment for sound and video, etc, devising and managing the budget, working with other BWA Staff Team members to ensure details of all sessions within the event are provided for and 3 implemented. Organization skills, an eye for detail, and the ability to multi-task, prioritize and delegate where appropriate are imperative. Excellent communication skills are required to create productive relationships with vendors, attendees and other stakeholders. This role requires a dynamic, self-motivated, energetic, and personable individual with a go-getter attitude.

Ministry Specifications

1. Reports to the BWA Director of Ministries / COO.

2. Full-time position

3. Work location for this position is the BWA office in Falls Church, VA, USA. There is limited potential for working remotely if agreed with the BWA Director of Ministries / COO although attendance in the Falls Church office will be required on a regular basis.

4. Supervision of any assigned team members or volunteers will be in accordance with relevant BWA procedures and in a spirit of mentorship and Christ-centered love and service.

Responsibilities

1. BWA Events

a. Event Planning

• Working with Director of Ministries/COO, develop event strategies and briefs for location and venue searches

• In conjunction with relevant BWA and regional staff, undertake international and national site visits to identify suitable locations and venues for recommendation

• Develop, implement and deliver event plans including time-lines

• Coordinate with event leaders to understand their vision and requirements, ensuring alignment with organizational goals

• Plan for and liaise with vendors, suppliers, and contractors for all logistical needs, assessing and negotiating contracts with vendors and service providers

• Create and manage event budgets

• Collaborate with the BWA Communications team to promote events and increase attendance

including developing content for event correspondence, collateral materials, social media andweb

• Maintain strong relationships with stakeholders

• Creative planning of event aesthetics

• Liaise with local team ensuring expectations are communicated and delivered

• Developing risk management plans that anticipate potential issues, such as inclement weather or health and safety concerns

• Research and implement virtual elements of meetings

• Plan, develop and manage registration system, liaising with Finance team on financial issues

• Inform and update staff members, local team and other involved parties throughout the eventcycle, ensuring expectations are communicated and delivered

b. Event Implementation

• Oversee the implementation and delivery of all virtual elements of hybrid and virtual meetings

• Oversee the event setup, delivery, and breakdown

• Devise and manage registration system

• Ensure compliance with health and safety regulations

• Manage and supervise event staff and volunteers

• Troubleshoot and resolve any issues or emergencies during the event

c. Post Event Follow-up

• Ensure that events are seen as part of a continuum of relationship strengthening, deepened discipleship, and mission mobilization by ensuring participants are followed up, on a timely basis, with further relevant information and opportunities for engagement

• Ensure recognition to key constituents

• Financial reporting

• Undertake post-event surveys

• Summarize learnings for future consideration and action ensuring appropriate data transfer

• Produce post-event reports to assess outcome

• Monitor and evaluate event success and provide feedback including leading debrief meetings

2. Other Events

• Assist with promotion (planning and delivery) at other events

• Advise and assist with planning and delivering of other events as agreed

3. Other Additional Responsibilities

• Participate and help lead weekly team devotions and other BWA Team meetings

• Attend Ministry Directors’ Meetings

• Other duties as assigned

Qualifications and Experience

  1. Familiarity with the history, programs, and practices of the BWA. Theological alignment with the theological principles and values of the Baptist World Alliance and agreement with the BWA Statement of Faith.
  2. Bachelor's degree in Event Management, Marketing, or a related field.
  3. 5+ years of creative and innovative, large scale international event planning and coordination experience – ideally in a Baptist context.
  4. Strong experience with budget management and financial reporting.
  5. Excellent negotiation skills.
  6. Proficiency in Microsoft Office Suite and event registration/management software and tools.
  7. Knowledge of event marketing and promotion strategies.
  8. Familiarity with health and safety regulations.
  9. Complex project management experience with planning, delivery, and evaluation.
  10. Cross-cultural competence with understanding and appreciation of cultural diversity, with the ability to navigate and respect different cultural contexts.
