POSITION: Administrative Assistant, Part-Time
PURPOSE: The Administrative Assistant provides essential support to the pastors and ministry staff by supporting office operations, communication, and administrative tasks. This role ensures that the pastoral team is equipped to focus on ministry by handling the behind-the-scenes details that keep the pastoral team organized and responsive to the needs of its congregation.
KEY RESPONSIBILITIES
Administrative Support
• Provide direct administrative support to the Operations Manager, Senior Pastor, Associate Pastor, and other ministry staff, including calendar coordination, document preparation, meeting scheduling, and correspondence.
• Maintain files as needed to support staff.
• Support the Church Operations Manager when needed in preparing and distributing weekly bulletins, worship service materials, and event announcements.
• Assist in the coordination of room schedules and facilities usages for meetings and events.
Office and Communication Tasks
• Serve as the first point of contact for phone calls, emails, and in-person inquiries, providing warm and professional assistance.
• Handle incoming and outgoing mail, supply inventory, and other general office tasks.
• Support the production of newsletters, flyers, and ministry materials as needed.
• Assist in other office and communication tasks as assigned.
Ministry Support
• Assist ministry leaders with event planning logistics, sign-ups, and communication.
• Support follow-up processes for visitors, prayer requests, and special needs in collaboration with Pastoral Staff and Church Operations Manager.
SKILLS & QUALIFICATIONS
• Strong personal relationship and commitment to Jesus Christ and a faith that is evident in congregational involvement and workplace behavior and attitude.
• Alignment with Berea Baptist Church’s mission, faith, and values.
• Previous experience in an administrative or office support role.
• Strong organizational and communication skills, both verbal and written.
• Proficiency with office software (e.g., Microsoft Office, Google Workspace) and a willingness to learn church management and communication systems.
• Able to handle sensitive information with confidentiality and professionalism.
• Dependable, flexible, and able to work independently and as part of a team.
WORK SCHEDULE & EXPECTATIONS
• A typical work week includes Monday through Thursday, 1:00 to 4:00 pm, and Friday 9:00 am to 12:00 noon (15-20 hrs./wk.), with flexibility for evening and weekend events and meetings as needed. Weekday hours may be adjusted when necessary, with the approval of Senior Pastor.
